Editing a Lease After the Financial Year Has Closed
Where an edit would change the figures of a financial year that has already closed, Lease102 stops the save and asks you to confirm it, then records that confirmation in the audit trail.
What You See
A dialog headed "Closed financial year" names the year, for example "Year ended 31 Dec 2025", and lists the fields you changed. It sets out what the change could disturb: finalised statements, accounts filed at Companies House, the reconciliation with your accounting system, and prior period comparatives. Cancel abandons the save and writes nothing. Override and Save writes the lease and records your confirmation in the audit trail under your name, with the year and the fields.
When You Are Asked
Three conditions must all hold, so the question stays out of ordinary work.
| Condition | What it means |
|---|---|
| The figures existed in that year | A lease that began before your transition date has no Lease102 figures until it is transitioned, so it is in scope only from its transition date. A lease beginning later is in scope from its commencement. |
| The lease was live at that year end | A draft is never in scope. Nothing in a draft reaches a report, a journal or your accounting system. |
| The edit changes a figure | Rent, discount rate, dates, exemptions and the rent timeline count. A description, a lessor name, a justification note, a rate source or a portfolio move do not, and save silently. |
Loading a Back Book Raises Nothing
Leases entered for a portfolio you are bringing onto the balance sheet are legacy and untransitioned while they are being loaded, reviewed and corrected, so none of that work is interrupted. The question first arises after the first financial year carrying those figures has closed.
It is a question, not a bar
What It Does Not Do
The control governs the lease record only. Confirming posts nothing, reverses nothing and reports nothing to your accounting system. Where a period was already posted, Close Checks reports the month as differing from what the system would now produce, and the journals Lease102 posted can be reversed so the period can be posted again if you would rather correct the original month.
Journals Already Posted
Where an edit would move a figure on a lease whose journals have been posted, whether by the Xero sync or recorded as posted by hand, Lease102 stops the save and shows a dialog headed "Journals already posted". It states when the journals were last posted, that saving recalculates the lease and restates months already posted, and which fields or rows changed, including the payment schedule and the costs, incentives and provisions. Cancel writes nothing. Save and restate writes the lease and records your confirmation in the audit trail. Record a modification instead opens the lease page with the modification dialog. Where the closed financial year dialog has already been answered for the same save, you are not asked twice.
Changes Dated in Posted Months
A modification, an impairment, a reversal and a termination are dated, and so is removing any of them: the journal falls in the month of that date. Where that month is already posted, the dialog that records the change shows 'Journals already posted', naming the last posted month and the date of the change. A later sync leaves posted months alone, so the change's entries are not posted by it: post them by hand, or reverse and post those months again. Where the date falls in a closed financial year the dialog shows 'Closed financial year' instead. Confirming is recorded in the audit trail.
Changes Agreed After Commencement
The edit form carries a note on any lease that has been activated: a rent review, an extension or a shorter term agreed after commencement is recorded as a modification on the lease page, which remeasures from its effective date and leaves posted months as they are. An edit to the lease itself recalculates the lease, including months already reported, which is right for correcting what was entered but not for recording a later change.
