• Marketing Source: Where you arrive from an advertisement or a tagged link, the campaign and the referring website, recorded against your account or enquiry when you sign up, request a demo, or download a resource
• AI Assistant Conversations: The messages you send to the in-app assistant, any screenshot you choose to attach, and, on eligible plans, figures computed from your own lease register to answer you

4. How We Use Your Data

We use your personal data for the following purposes:

• Providing and improving the Service
• Processing payments and managing subscriptions
• Sending service notifications and updates
• Responding to support requests
• Ensuring security and preventing fraud
• Providing educational resources and content
• Measuring how visitors find and use our website, and how our advertising performs
• Marketing and product-update communications (with your consent, or to business contacts under legitimate interest)

• Contract: To provide the Service you've subscribed to
• Legitimate Interests: To improve and secure our services, to record which campaign or website referred you, and to send relevant product updates to business contacts who request a demo, make an enquiry, or download a resource. You can unsubscribe at any time.

• Consent: For optional features such as AI document extraction and downloading gated resources, and for analytics and advertising cookies
• Contract and Legitimate Interests: Providing the in-app AI assistant when you choose to use it

6. Data Sharing

We may share your data with:

• Service Providers: Hosting (Railway, Vercel), payments (Stripe), email (Resend), error monitoring (Sentry, with default collection of personal data switched off)
• Analytics and Advertising Measurement: Google (Tag Manager, Analytics and Ads), Microsoft Advertising and Vercel Web Analytics. They receive information about visits to our website and use of the Service, such as pages viewed, features used, an account identifier, and whether a visit led to a sign-up or a demo request. They do not receive the contents of your lease records
• AI Processing: Anthropic, for document extraction where you have enabled it and for the AI assistant. Anthropic processes this data as our processor under its Commercial Terms, does not use your content to train its models, and retains it only for the limited period needed to provide the service
• Legal Requirements: When required by law or to protect our rights

We do not sell your personal data to third parties.

7. Data Retention

We retain your data for as long as your account is active or as needed to provide the Service. After account deletion, we retain data for up to 7 years for legal and regulatory compliance (accounting records), after which it is securely deleted.

AI assistant conversations are deleted automatically 12 months after the last message in the conversation. You can delete any conversation sooner from the assistant panel, and a deleted conversation is permanently removed within seven days.

8. Your Rights

Under UK GDPR, you have the following rights:

• Access: Request a copy of your personal data
• Rectification: Correct inaccurate data
• Erasure: Request deletion of your data
• Portability: Export your data in a machine-readable format
• Objection: Object to certain processing activities
• Restriction: Request limited processing of your data

You can exercise your data portability right directly from your Account Settings using the “Export My Data” feature.

9. Data Security

We implement appropriate technical and organisational measures to protect your data, including:

• Encryption in transit (TLS) and at rest
• Regular security assessments
• Access controls and authentication
• Audit logging of all data access

10. International Transfers

Your data may be processed in countries outside the UK. Where this occurs, we ensure appropriate safeguards are in place, such as Standard Contractual Clauses or adequacy decisions.

11. Cookies

We store information in your browser in the following ways:

• Essential: What is needed to operate the Service: your sign-in token, your cookie choice and your display preferences. These cannot be switched off.
• Analytics and Advertising: If you choose “Accept All” on the cookie banner, Google Analytics, Google Ads and Microsoft Advertising may set cookies to measure how the website is used and whether our advertisements lead to a sign-up or a demo request. Until you accept, these tags are instructed not to store or read cookies on your device. Vercel Web Analytics counts page views without cookies.
• Campaign Source: With the same choice, the campaign you arrived from is kept in your browser until you close it, so that it can be recorded if you sign up later in the same visit.

To change your choice, clear this website's data in your browser settings. The banner will then ask again.

12. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by email or through the Service.
